Disabled Sports USA is seeking requests for proposals from organizations who wish to serve as the Host Partner for the 2020 Adapt2Achieve Leadership Conference.

Disabled Sports USA and our sponsors provide this conference free of charge to most attendees as a way to elevate the adaptive sports industry. 2020 will mark the 11th year that DSUSA has offered Adapt2Achieve programs and services to help adaptive sport providers share best practices, experiences, and expertise. The theme will focus on sports and recreation for people with disabilities in America’s great outdoors.
The Leadership Conference is offered annually to help develop and strengthen the DSUSA chapter network. This event will bring together about 150 adaptive sport providers from around the country. Many attendees are affiliated with DSUSA chapters and include Executive Directors, Board Members, and other program leaders. The audience is also comprised of representatives from VA Medical Centers and other community-based sport and recreation organizations. Students and others wishing to explore the field and network are welcome! The atmosphere is one of camaraderie and learning in a casual environment, with numerous opportunities for professional development and networking.
In the past, no two years’ conference schedules have been exactly alike. The number and type of concurrent sessions change from year to year, as does the number and type of meals and social activities.

DSUSA is primarily responsible for coordination, logistics, and success of the 2020 conference. Host Partners are asked to provide assistance to DSUSA with regard to selecting venues and vendors. Additional responsibilities and compensation are negotiable based on the capacity of the Host Partner to fulfill them.
Specific requirements may vary. It is preferred to have one full service hotel provide lodging and meeting spaces, with all experiential sessions and social activities occurring within close proximity. This will minimize time and expenses spent on local transportation. We will consider a separate meeting and hotel location if no alternative is available. Elements such as convenience to major airports, resources for experiential sessions, and unique local attractions are considered.
-Minimum of 150 sleeping rooms that can be allocated for conference attendees (6 ADA)

Easy airport access and complimentary shuttles
Complimentary Wifi throughout the hotel
Free or low cost parking
Oversize vehicle/trailer parking on site
Meeting Space Requirements:
-Accommodate seating for various room arrangements and audiences (15-150 people)
DSUSA will provide the Host Partner with compensation commensurate to the scope of their role and the time/resources contributed to the event. DSUSA will assume financial responsibility for the conference expenses. The Host Partner benefits from increased visibility of their program’s innovations and successes, as well as complimentary registrations for members of their team and extra perks during the event.
Selection of the Host Partner is based on: quality of the proposal; responsiveness to DSUSA’s conference requirements, including costs and ability to deliver proposed items; and location in respect to past conference sites, ease of travel for attendees, and affordability. Preference will be given to DSUSA chapters, veteran-serving organizations, and other disability sport organizations. Neighboring organizations are encouraged to collaborate in RFP submission. Upon selection, DSUSA will negotiate a contract and compensation for the Host Partner(s).
Submitting the RFP does not create any obligation on DSUSA to select the recipient or any applicant as the Host Partner. DSUSA’s selection will be based upon pricing, location, and other factors that may or may not be disclosed to the applicants. All decisions relating to the location and selection of hosts remain at all times solely within DSUSA’s discretion.
